TERMS OF REFERENCE (TOR) Project Title: PMDP Leadership Conference 2026 Technical Equipment Rental with Production Team Duration: November 12-14, 2026 Lights & Sounds, and LED Walls for 3 days (12-14 November 2026 - Lights , Sounds and Trusses for the Conference x 3 days - Basic, Sounds System for DAP Learning Center x 2 days - 9 x 24 LED for the Conference x 3 days - 9 x 12 LED for DAP Learning Center x 2 days Production Team to facilitate mounting of the technical-side of the event - Overall director, technical director, Set-up and Stage Managers, Spinner, Playback - Video Coverage Including SDE for the 3-day event Scope of Services The technical equipment rental with production team shall provide the following: 1. Event Planning and Coordination Perform related coordination tasks necessary to deliver the agreed scope of services as follows: • Prepare presentation guidelines; undertake scriptwriting in collaboration with hosts; and work with the PMDP Team on the program flow and run-of-show. • Develop a comprehensive event plan, production schedule, and run-of-show. • Conduct pre-event meetings, rehearsals, and technical run-throughs. 2. Event Production • Lights and sound system suitable for the conference sessions • LED walls and visual design for program backdrop and presentations. • Stage design and setup with appropriate décor and branding elements. • Provide all technical equipment needs for each session of the conference. 3. Video Documentation • Multi-camera setup for live coverage of the event. • Video recording of the sessions • Recap video for the first day of the event • Same-day edit (SDE) video presentation. • Full video documentation and post-event highlight reel 4. Event Execution • Provide a professional production team (overall technical director, stage director, floor director, technical crew, and event staff) under the supervision of the PMDP • Manage the program flow and technical execution. • Coordinate program cues, presentation playback, st
