The WCB is inviting your firm to submit a Proposal for the following: Provide event planning services to assist SAFE Work Manitoba with its annual Committee Leadership Conference and future events and conferences on an "as-needed" basis. Description of Services Committee Leadership Conference The WCB requires the Contractor to perform the following: a.Work with the conference steering committee to develop a plan; b.Create and work within a budget; c.Negotiate and review contracts between the WCB and the conference suppliers (i.e. audio-visual service providers, keynote speakers), conduct discussions with suppliers in consultation with the conference steering committee, provide regular updates to the conference steering committee throughout the negotiation process, and support the finalization of contract terms for the WCB's approval; d.Book a suitable venue, in conjunction with the conference steering committee; e.Play a support role with keynote speakers and workshop presenters (who will be selected by the conference steering committee), including confirmation of bookings, fee payments, and travel arrangements; f.Provide an online electronic registration system, administer registration and fees, and provide on-site registration at the venue; g.Arrange food, beverage, and presentation requirements at the venue, in conjunction with the conference steering committee; h.Arrange for all audio-visual services and equipment rentals; i.Provide on-site staffing and management during the conference; j.Handle email communication of pre-conference information to Manitoba safety and health committees; k.Overall conference management, including on-site venue management; l.Financial management and reporting; m.Arrangement of extracurricular activities for participants, as applicable; and n.Such other related activities assigned.
